(or: How I Handle 4 Clients in a Week Without Losing My Mind)
You ever feel like your week has somehow turned into a flaming trash can on wheels, just rolling downhill fast, and you’re chasing it in flip-flops? Yeah. Me too…until I figured out this whole batching thing.
Somewhere between client #3’s “urgent” request (spoiler: it wasn’t) and my fourth glass of lemonade, I realized that context-switching was quietly murdering my productivity. Not dramatically, mind you; no grand collapse. Just a slow, irritating paper-cut kind of death.
So I started batching.
Here’s what that actually looks like in my week, because batching isn’t just a fancy buzzword for “work harder.” It’s about making your brain do fewer costume changes so you’re not playing accountant, copywriter, editor, and admin assistant all in the same frantic afternoon.
Monday: The Big Plan & Client A
Mondays are where I sketch out what each client needs this week. I’m talking sticky notes everywhere, laptops open, water bottle always nearby…but it’s focused chaos. I ask:
- What deliverables do I owe them?
- What recurring tasks are non-negotiable?
- What can I batch together so my head stays in one lane at a time?
Once I’ve got all my post-its in a row, I quickly churn out Client A’s social posts. Hers are always quick and simple. Once she’s done, I can turn my focus to my clients with more in-depth work.
Tuesday: Deep Work for Client B
Tuesday is sacred. Headphones on. Phone ignored (sorry not sorry). This is where I knock out most of the heavy lifting for my first big client: bookkeeping, document editing, blog drafts, emails, templates: whatever requires brainpower, creativity, and zero distractions.
Wednesday: Admin + Light Work
Wednesday’s where I let myself breathe a little (and maybe answer those “urgent” emails that mysteriously survived from Monday). It’s admin tasks, invoices, file organization, and prepping drafts that don’t need deep focus.
Not gonna lie, Wednesday is a kid-focused day. We run around from Mass to the library to a lunch date at the park each week.
Thursday: Break Day
Thursdays tend to be days of zero to little work. I homeschool my kids, and Thursdays are Community Days, where we meet with the other families and tutors to go over each week’s lessons. Plus, they get to get messy doing art and science projects!
If need be, Thursdays are days of quick check-ins with my clients to touch base with where I’m at on certain projects, getting clarification, or whatever other needs may arise. I’ll follow those Telegram and text messages up with an email once I’m settled back in at home.
Friday: Finishing + Clean Up
Friday is the catch-all. Finish loose ends, send final drafts, and line everything up so I don’t walk into Monday with half-finished work hanging over me. And honestly? It’s where I finally feel like the week is mine again.
What batching isn’t:
It’s not stuffing your calendar so full that you’re still working nights and weekends, just “efficiently.” Nope. Batching is about guarding your energy and mental space so you can actually do good work…and maybe even have a Saturday.
So yeah…this system is how I’m handling four clients a week without spiraling. The trick isn’t just working faster; it’s working smarter…in fewer “costumes” per day.
(And if you’re wondering, yes, I still get distracted and forget what day it is. Some things batching can’t fix.)
